Print and Post: hybrid mail for UK businesses

Send letters without touching a printer, envelope or stamp. Print to our virtual printer driver from any application, or submit documents through our REST API, and our central print service prints, encloses and posts them for you, at a rate comparable to your franking machine. The software is free: you only pay for what you send.

What is hybrid mail?

Hybrid mail is a service where you send letters electronically to a print provider, which prints, folds, envelopes and posts them on your behalf. It replaces printing letters in the office and franking or stamping them, saving staff time, consumables and equipment, while your customers still receive a physical letter.

everymessage has been helping UK organisations communicate with their customers since 2003. Print and Post sits alongside our digital channels, so you can send each letter by post, digitally, or both.

How Print and Post works

  1. Submit

Print to the everymessage virtual printer driver from any application, just as you would to an office printer, or submit letters automatically through our REST API.

  2. Print and enclose

Our central print fulfilment service prints your letters, adds any attachments or enclosures, and puts them in envelopes.

  3. Post

Your letters are posted using the postage class you chose, and you can see what was sent.

Print and Post features

Free virtual printer driver

Install the driver and staff can send letters from any application that can print. It costs nothing to use: you only pay for the letters you send.

Black and white or colour

Print every letter in black and white or full colour, whichever suits the document.

Choice of postage class

Choose the postage class for each send, depending on how quickly the letter needs to arrive.

Attachments and enclosures

Add attachments and enclosures to your letters. Whatever type of letter you send, we have you covered.

REST API

Connect your own systems to submit letters automatically, so print runs happen without anyone pressing print.

Postage included

One price per letter covers printing, paper, envelopes and postage, at a rate comparable to your franking machine, and saves the hours your team spends preparing post.

Royal Mail marketing discounts

For larger campaigns, we can arrange special mailings that qualify for Royal Mail marketing discounts, bringing the cost per item down further.

Go digital first, post only when you need to

Print and Post works hand in hand with Digital Letters. Send documents digitally first, by SMS or email invite to a secure, branded portal. If a customer doesn’t open theirs, it can be switched automatically to a printed, posted letter, with no manual work. You pay for postage only where post is really needed.

Print and Post FAQs

What is hybrid mail?

Hybrid mail lets you send letters electronically to a print provider, which prints, envelopes and posts them for you. Your recipients still get a physical letter, but you no longer need to print, fold, frank or stamp it yourself.

Is hybrid mail cheaper than using a franking machine?

everymessage Print and Post is priced at a rate comparable to a franking machine. On top of that, you save on printers, paper, ink, envelopes and franking equipment, and on the staff time spent preparing post.

How do I send letters with everymessage?

There are two ways. Staff can print to the everymessage virtual printer driver from any application, such as Word, a PDF reader or your case management system. Or your systems can submit letters automatically through our REST API. We then print, enclose and post them.

Can I send letters through an API?

Yes. Print and Post is available through the everymessage REST API, so your systems can submit letters automatically, such as statement or invoice runs, without anyone printing them.

Can I print in colour and include enclosures?

Yes. Letters can be printed in black and white or colour, you can choose the postage class, and you can add attachments and enclosures.

Is postage included in the price?

Yes. The everymessage Print and Post price per letter includes postage, as well as printing, paper and envelopes.

Can I get Royal Mail discounts for marketing mailings?

Yes. For larger marketing campaigns, everymessage can arrange special mailings that qualify for Royal Mail marketing discounts. Talk to us about your volumes and timings.

How much does the software cost?

The virtual printer driver is free to use. You only pay for the letters you send.

What is a virtual printer driver?

It’s a printer that appears in your computer’s list of printers but sends documents to everymessage instead of a physical printer. Anything you can print can be sent as a posted letter, with no new software to learn.

Can I send letters digitally and only post them if needed?

Yes. With everymessage Digital Letters, documents are delivered first by SMS or email invite to a secure portal. Any that aren’t opened can be switched automatically to a printed, posted letter.
